 Define
The Culture
When you are trying to get many people, across different and varying types of
departments within your organisation to work in an organised way you will soon
find that this is not an easy goal to achieve. Presenting a BCM programme in
the wrong way can potentially kill the project before it has even begun. Having
the right approach, the right message and the right tools at your disposal will
ensure that you have a good chance of developing a culture or way of working
that will meet the needs of all. NonVerba's industry recognised COPE
methodology is proven to provide this support and has been successfully
deployed in organisations as complex as Glaxo Smith Kline for example. BCM is
not just a project to be completed in isolation and treated as a one-off, but
is an ongoing requirement, that will only be achieved through the use of simple
messages with which people can associate themselves and understand easily. It
needs to be embedded as part of your culture from the Board to the shop floor
and we have a wealth of experience to help you achieve this.

Risk Management
How much risk are you prepared to consider? Would you gamble with the loss of
your house? If you think of it in this way, maybe you can understand the
importance of identifying those risks which could potentially bring down your
company if they are not considered professionally and addressed appropriately.
Through appropriate risk identification, deciding on what you want to do about
it, i.e. accept it, insure against it, or prepare for it for example you are
now starting to mitigate the risk and therefore improve your probability for
success if it were to occur. NonVerba has supported companies such as Glaxo
Smith Kline in its effort to identify risks across its European Head Quarters
for example. By developing simple tools, education and awareness, a process was
developed to address the common needs of all business units.

Business Impact Analysis
Just like dominos in a line. One which does not manage to do its job properly
will ultimately have an effect on the next domino in the line. The inability to
topple and pass on the push to the next domino may mean the topple stops and
the big event does not complete. Developing an understanding of how tolerant a
business process is in respect to business disruption and the effect of supply
to the process and the ability for resources supporting the process to deliver
on its commitments to stakeholders during a loss of service is a complex
message to get across all business functions successfully when trying to deploy
a BCM strategy. To date NonVerba has always taken a very simple approach to
this within its COPE methodology to address the basic needs of BIA. We have
never used this acronym as simple terms need to be standardised to make this
much easier to understand. However as users gain further experience it has come
to our attention that there is now a level of understanding that could support
the use of more sophisticated tools. That being the case NonVerba have begun
constructing a BIA building wizard which will form part of the eSecurus 2007.
There will be no cost for this module as it will be part of the augmented
functionality within the solution packages.

Awareness And Education
Having offices based in Berkeley Square, London positions NonVerba well in
servicing the needs of our City clients when conducting awareness and
education. However we also have offices in Hitchin, Hertfordshire, and this
allows us to work with clients who want to get their team away from their
existing office location. Our training facilities are based at a Tudor Priory
with 17 acres of land, minutes walk from the NonVerba offices in Hertfordshire
allowing you to play and bond as a team (we can arrange for quad bikes,
archery, golf days etc.) and then get down to work the following day. Building
a solid culture that will last for years to come, is a crucial part of the
exercise. If you are to rely on each other in a crisis you need to build a team
spirit that is real and not just expected to materialise for the event.
NonVerba has the capability to deliver any course associated with the
programme, facilitate desk top test reviews or simulate a total outage away
from the office if required. As we have an in house team of multi media
designers fully experienced in developing a bespoke BCM message if required,
you can leverage this service to help you tailor the event with minimal fuss.

Make It Happen
Defining a culture is a big achievement. Getting people on side and wanting to
engage and support your initiative cannot be allowed to stall otherwise you
will loose ground, reputation, and all of the hard work you have put in so far.
Therefore having a secure and robust software toolset which allows you to
engage with all involved within the programme either inside the confines of
your corporate domain or delivered over the Internet, ensures you are now
connected electronically within one system without the need to use third party
tools such as Microsoft Word. Being connected through a workflow database means
that the plan development is accountable to those defined within the system
reducing the stress of the programme's implementation for you personally.
NonVerba's eSecurus is a proven technology which stems from personal work
carried out by one of NonVerba's directors, on a global scale, for Goldman
Sachs. eSecurus supports companies in the UK and globally. For an example of a
deployment, to review the reference received from one of the UK's
leading TV Production companies, All3Media. One option open to our clients
which we feel is currently unique in the industry, is that if required our
system can seamlessly link to our Quality Process Management system eOperandi
so that "How To" knowledge can be dynamically linked to your plan base at the
click of a button thus leveraging on the work you have done to establish
company best practice. Any changes in corporate best practice will ultimately
be reflected in your task sheets.
If your company is Quality Assured under ISO9001:2000 or CMM Level 5, why
should you want to rely on Process Reconstruction information developed in a
database which does not fall under your Quality Assurance Audit Regime?
Having your Quality Management System and Business Continuity Management System
converged in this way ensures your task level "How To" Knowledge Guaranteed for
Success.

Computer Based Training
You could have the best system in the world but if end users do not know how to
use it, there is no guarantee that it will be used. NonVerba appreciates and
understands this and we have developed a Computer Based Training system that
has helped many companies such as Land Securites plc develop a strong
understanding of how to use some of their systems through the use of easy to
understand interfaces, drop down quick links and step by step instructions to
help get the message across. One of our clients, Telereal, who surveyed their
staff on the use of NonVerba's Computer Based Training technology, obtained
their first 100% response when asking if staff had used the tool and found it
easy to use.

Workflow And Proactive Triggers
When you are responsible for the ongoing maintenance of a data store which is
sometimes 100's of files in size, which can change by the hour, you have little
chance of managing this single handedly, UNLESS, you have technology to help
you do this. Historically a BCM programme manager would have to rely heavily on
the document production department if she / he had one. NonVerba's
implementation of workflow management ensures those responsible for actions are
proactively made aware when required so that they can continue with the day
job, safe in the knowledge that the system is working for them and not against
them.

 |
Rich Reporting To Make Informed Decisions
When asking people to plan, you are simply asking for data from them to
ultimately generate information. The key question is why? What are you going to
do with the data and what information are you proposing to generate? Many
stakeholders use this information for different reasons such as to develop a
plan for use when required, to have a world view of the company's critical
processes, resources and dependencies. More importantly, senior management may
simply want to ask the question "What is our state of readiness?". NonVerba
have worked with companies to attempt to build a portfolio of reports and
dashboards to meet the needs of all stakeholders involved within the Business
Continuity Management programme.
|
 |
State Of Readiness Reporting
When you actually manage to test the integrity of your plan the one question is
how safe are we? NonVerba has developed an online Q&A toolset which enables you
to reach out to all those involved in the test, minutes after completion to
consider this and to also gain valuable qualitative and quantitative feedback
on what went wrong and also on what needs to be done to improve the programme
going forward. NonVerba has very strong links with the Quality sector and have
built in consideration for quality in the tools we develop.

Continuous Improvement

entire BCM programme to NonVerba leveraging our advanced and specialised

Convergence Is The Key
When developing a Business Continuity Programme it is very important to first consider the wide-ranging data that you will ultimately need to access, process and also what systems will be used to achieve this. Plan Construstion is only one piece in the jigsaw. You also need to consider the low level "How to Knowledge" that will ultimately make up the task sheet detail within the plans. Do you really want people to re-invent this during the Business Continuity Planning process or would you rather leverage you Corporate Best Practice which is regularly audited under a controlled seal of Quality such as ISO 9001:2000? If so the Quality Management and Business Continuity Management Systems should be talking to each other as a bare minimum or converged or integrated at best.
If your company is Quality Assured under ISO9001:2000 or CMM Level 5, why should you want to rely on Process Reconstruction information developed in a database which does not fall under your Quality Assurance Audit Regime? Surely this is a risk in its own right?
Having your Quality Management and Business Continuity Management Systems converged in this way ensures your task level "How To" knowledge is guaranteed for success.
The story does not stop there. If your system is to be truly integrated it should also seamlessly link to your HR System, Risk Management System, Business Impact Analysis System, Internal Audit System, Fire Risk System, Supplier Evaluation System and so on. This list is endless and every company will have their own special needs.
As NonVerba is the worlds 1st Knowledge Processing Outsourcing company specialising in bespoke software development for the BCM and Corporate Governance industry, we have the experience and resources to integrate our platform eSecurus into a fully integrated environment of your choice working from our base foundation. Within a matter of months you will have a total solution that will meet all your needs.
